How we handle enquiry details, property information and photographs.

Who is responsible for your information
First Guest is operated by Adina Maftei, based in Northamptonshire, United Kingdom. For questions about your personal information, contact adina@firstguest.co.uk.
What information we collect
When you enquire or become a client, we may collect your name, contact details, relevant property addresses, dates, access and project requirements, correspondence, quotations, invoices and transaction records. If you choose to provide them, we may also receive photographs of rooms, storage spaces or belongings and details of special handling or access requirements.
Please do not send bank card details, security codes, identity documents or sensitive personal information through an enquiry form. If any sensitive information is genuinely needed for your project, we will discuss a suitable way to handle it separately.
Why we use it and our lawful bases
We use information to respond to enquiries, assess project requirements, prepare quotations, arrange and carry out agreed work, communicate with you and maintain service records. Where you ask us to provide a quotation or engage our services, the usual lawful basis is taking steps before entering into a contract or performing a contract. We may use limited records to manage and protect the business, handle queries and improve how we organise services where our legitimate interests are not overridden by your rights. Financial records are retained where needed to comply with legal obligations.
We do not use the assessment form as consent to receive marketing messages. If we introduce optional marketing communications, these will have a separate choice and appropriate unsubscribe arrangements.
Photographs and project materials
Photographs and detailed descriptions supplied for a project are used to understand the property, plan the work and deliver the agreed service. We do not publish identifiable photographs of your home or use them for advertising or case studies without asking for separate permission. Please avoid including people, security arrangements or private paperwork in images.
Who may receive information
Relevant details may be processed by services that support our website, enquiry forms, email, project management, accounts and payments. These may include Netlify for website forms and hosting, Fillout for client assessments and Notion for customer or project records, where those services are in use. Where your project requires independent removal companies, cleaners, tradespeople or other suppliers, we may share only information reasonably necessary to request quotations or coordinate approved work. We do not sell your personal information.
Storage, security and international processing
We take reasonable steps to limit access to business information and use the security features available in our service providers. Some technology suppliers may process or store data outside the United Kingdom. Where this happens, we check the applicable transfer arrangements and safeguards and can provide further information on request.
How long we keep it
We keep enquiry information only for as long as reasonably needed to respond and follow up, and project information for the period needed to deliver work, resolve queries and meet legal or accounting obligations. Photographs that are not needed for an agreed project should be deleted when they are no longer required. The precise retention periods for enquiries, photographs and client files are being finalised; contact us if you would like to know how long a particular record will be retained.
Your data protection rights
Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict or object to certain processing, and request portability of relevant information. To exercise a right, email adina@firstguest.co.uk. You may also complain to the Information Commissioner's Office (ICO).
Updates
We may update this notice as our services, processes and providers change. The latest version will appear on this page.
